Help Desk Software Comparison for Small Teams: Per-Seat vs Usage-Based vs Flat-Rate Pricing

Help Desk Software Comparison for Small UK Teams: Pricing Models and Costs

If you're comparing help desk software on a tight budget, here's the short version: the pricing model matters more than the feature list. Per-seat and usage-based tools tend to get more expensive exactly when your team or customer base grows. Flat-rate tools with unlimited agents, like Sonny at $19.99/month (roughly £15-16, indicative only), keep costs predictable. Per-seat and usage-based options can still make sense in narrower situations, and I'll walk through those too. Whatever you pick, work out your likely cost at 6 and 18 months, not just today.

Grab a cuppa, because this comparison puts pricing first and features second. ☕

A quick note on how I've handled numbers. Vendor prices change often and are usually quoted in US dollars, so I've linked to each vendor's live pricing page instead of copying entry prices that could be out of date by the time you read this. Where I do use a figure, I'll say what it is and what it isn't.

Why Compare Help Desk Software by Pricing Model First?

Picture a three-person team that signs up for a help desk tool. The price looks fine. Then a part-time teammate starts helping with customer emails on Fridays, and a developer needs to jump in on bug reports. Suddenly there are five people, and the bill has jumped by two-thirds for the same number of customers. Nobody did anything wrong. The pricing model just did what it was designed to do.

That's why I'd begin with how a tool charges rather than what it does. Most small-team tools now cover the basics: a shared inbox, a live chat widget, tagging, filtering and some reporting. Once everyone ticks those boxes, price structure is what actually separates them.

The first question to ask any vendor is what drives the bill. Usually it's one of these:

• the number of agent seats
• ticket, conversation or AI usage
• paid add-ons

Many vendors mix them. Intercom, for example, lists seat-based plans alongside a separate charge for its Fin AI Agent, so you have to forecast both headcount and volume. If you compare feature lists before you understand the pricing unit, you can easily miss the long-term cost.

A note for UK buyers: many help desk vendors quote in US dollars and show prices excluding tax. If you're budgeting in pounds, allow for exchange-rate movement and 20% UK VAT where it applies. The number on the pricing page often isn't the number your finance person sees on the invoice. Ask each vendor, in writing, what currency they bill in and whether VAT is added on top.

What Pricing Models Exist for Help Desk Software?

There are four broad pricing models for help desk software, and plenty of tools blend them.

• Per-seat (per-agent): you pay for each person who logs in to reply.
• Usage-based: you pay per resolution, ticket, conversation or AI action.
• Tiered feature pricing: cheaper plans lock away automation, reporting or integrations.
• Flat-rate: one price, with unlimited agents and unlimited conversations.

Model	How you're billed	How costs scale	Best for	Biggest risk
Per-seat	Per agent, per month	Rises with every person who needs access	Tiny, stable teams	Rationing seats as you grow
Usage-based	Per ticket, conversation or resolution	Rises with customer activity	Low or very seasonal volume	Unpredictable bills after launches or sales
Tiered feature	Plan level, often plus seats	Jumps when you need a locked feature	Teams with one clear must-have feature	Paying more for basics like reporting
Flat-rate	One fixed monthly price	Stays flat as team and volume grow	Growing teams who want full-team access	Fewer enterprise-grade extras

How Do Popular Help Desk Tools Compare on Pricing?

Here's a snapshot of some well-known tools and how they charge. These products aren't direct equivalents. They differ in features, limits and support, so treat this as a map of pricing structures, not a league table. I've left out entry prices on purpose, since they change often and vary by currency and billing period. Click through for the live figure.

Tool	Main pricing structure	Billing unit	What to check before you commit	Likely best fit	Live pricing
Zendesk	Tiered plans, per agent	Per agent, per month	Which features sit on which plan; how AI and add-ons are charged	Teams needing deep configuration and a large integration ecosystem	Zendesk pricing
Freshdesk	Tiered plans, per agent	Per agent, per month	Automation and reporting by plan; AI add-ons	Growing teams wanting a broad feature set	Freshdesk pricing
Help Scout	Tiered plans, per user	Per user, per month	Plan features and any usage limits	Teams that want a simple, email-style help desk	Help Scout pricing
Gorgias	Tiered by ticket volume	Billable tickets per month	Ticket allowances and overage charges	E-commerce stores with steady order volume	Gorgias pricing
Intercom	Seats plus usage	Per seat, plus per Fin AI resolution	How a 'resolution' is defined; AI costs on top of seats	Teams wanting AI-led support who can forecast volume	Intercom pricing
Crisp	Tiered workspace plans	Per workspace, per month	Which plans include unlimited seats, and what else is limited	Small teams wanting a chat-first tool	Crisp pricing
Sonny	Flat rate	$19.99/month (USD), unlimited agents and conversations	Fewer enterprise features, such as complex permissions and large marketplaces	Small to mid-sized SaaS, e-commerce and software teams	Sonny pricing

The pattern to watch for is the hybrid, such as per-seat plus add-on fees for AI or extra channels. That's where the headline price quietly stops being the real price. Whichever row catches your eye, check the vendor's own page on the day you decide.

Per-Seat Help Desk Software: Pros and Cons

Per-seat pricing is the model most of us grew up with, and it isn't evil. It's just built for a particular kind of team.

The good bits:

• It's familiar and easy to understand. You can see exactly what drives the cost.
• Big per-seat vendors often have deep feature sets and large integration marketplaces.
• It can work well for a solo founder, or a team of two with one dedicated agent.
• It's easy to budget when your support roster genuinely isn't changing.

The not-so-good bits:

• Cost climbs with every new hire, contractor or seasonal helper, even if ticket volume hasn't moved.
• Teams start rationing seats. A common pattern: the developer who could answer a question in thirty seconds doesn't get a login, so the question goes into a DM, then a side channel, and your shared inbox stops being shared.
• The best features are often reserved for higher-priced tiers, which are priced per seat too.

Per-Seat Pricing Example: How Costs Grow With Your Team

Let's use a hypothetical $20 per agent per month. This is not a verified market rate or a quote from any vendor, and it isn't a like-for-like product comparison. Real plans will differ in features, limits and support. It simply shows how the two pricing structures scale, assuming monthly billing and ignoring tax.

Agents	Illustrative per-seat cost	Flat rate (Sonny, USD)	Difference
3	$60/month	$19.99/month	$40.01 more per month
6	$120/month	$19.99/month	$100.01 more per month
10	$200/month	$19.99/month	$180.01 more per month

Even at three agents, the illustrative per-seat bill is three times the flat rate, a gap of about $40 a month. By ten people, it's roughly ten times higher. And that's before add-ons, higher tiers or VAT, and before you ask whether the per-seat plan offers something the flat-rate plan doesn't.

Who it suits: very small teams that won't grow and need one specific advanced feature a simpler tool doesn't offer. If that's you, per-seat can be perfectly sensible. Just count everyone who'll need an individual login, part-timers and managers included, and check how the vendor defines a billable seat.

Usage-Based Help Desk Software: Pros and Cons

Usage-based pricing sounds wonderfully fair: pay for what you use. And sometimes it is.

The good bits:

• The entry cost can be very low when your volume is tiny.
• It can feel fair for businesses with very seasonal or unpredictable demand.
• Charges track something measurable, so a quiet month can mean a smaller bill.

The not-so-good bits:

• Unpredictable bills make budgeting hard, especially after a product launch, outage or sale.
• Success gets penalised. More customers talking to you means a bigger invoice.
• AI resolution and per-conversation fees can be tricky to forecast, and vendors define a billable event differently.

Here's a scenario to make it real. Imagine you run a small online shop and Black Friday goes brilliantly. Orders flood in, then a courier hiccup sends a wave of where's-my-parcel messages. Intercom's pricing page has listed $0.99 per Fin AI Agent resolution, charged on top of seat costs, though you should check the current figure and how Intercom defines a 'resolution' before relying on it. At that rate, an extra 500 resolved conversations in one week would add about $495 to your usual bill. Your best week is also your most nerve-racking invoice. This is an illustration of how hybrid seat-plus-usage pricing behaves, not a prediction of your costs, and it's why any per-resolution model needs careful modelling.

Before choosing a usage-based tool, ask what triggers a billable unit. Ask how reopened or duplicate conversations are counted, whether escalated AI interactions are charged, and whether there are caps or alerts. Those details affect your effective cost more than the headline unit price.

Who it suits: teams with stable, low volume, or a clear usage cap they can monitor. If you can model low, expected and peak months and still feel comfortable, it's a fair option.

Flat-Rate Help Desk Software: Pros and Cons

I'll be upfront here: I work at Sonny, so I'm biased toward flat-rate pricing. I'll try to be fair about it anyway.

The good bits:

• You get a predictable monthly cost, so you can budget with confidence.
• Unlimited agents means founders, developers, marketers and part-timers can all jump into the shared inbox and help.
• Growth doesn't cost you more, whether that's team size or conversation volume.

The honest trade-offs:

• Flat-rate tools may have fewer enterprise features, such as complex role permissions, advanced SLAs or large app marketplaces.
• Very large support organisations may outgrow a simple tool.
• 'Unlimited agents' isn't automatically 'unlimited everything.' Some plans still limit tickets, mailboxes, channels, automation or storage, so read the plan details.

One more caveat. Free, self-hosted options like FreeScout and osTicket have no per-agent licence fee, but you'll still pay in hosting, setup, updates, backups and admin time. A zero licence price isn't zero cost.

Where Sonny Fits: Flat-Rate Pricing With Unlimited Agents

Sonny is a customer support platform that puts live chat, email ticketing and team collaboration into one shared inbox. Here's what you get for $19.99/month:

• unlimited agents and unlimited conversations
• a live chat widget and email-to-ticket forwarding
• internal notes, tagging and filtering
• reporting on response times and team performance

And the practical extras:

• setup in under 5 minutes, with no onboarding calls
• a 7-day free trial with no credit card required
• a 99.9% uptime SLA
• native apps for iPhone, Mac and Android, plus browser access
• an optional AI copilot trained on your own docs

On currency and VAT: Sonny's $19.99/month is a US dollar price. At recent exchange rates of roughly $1.25-$1.35 to the pound, that's about £15-16 a month, but that's an indicative estimate and will move. Check Sonny's pricing page and checkout to see how VAT is shown for UK customers, and ask the same question of every vendor on your shortlist.

Let me be honest about fit. Sonny suits small to mid-sized SaaS companies, e-commerce brands and software teams that want simplicity over heavy enterprise configuration. If you need intricate permission hierarchies or a huge marketplace of integrations, you may want something heavier. Teams like Shopstar, CleanMyList and LeadToSheet mention the same two things: it's simple, and it's affordable to give the whole team access.

Which Help Desk Pricing Model Is Cheapest? Three Scenarios

Numbers help more than adjectives, so here are three simplified situations:

• Solo founder, 50 conversations a month, no plans to hire. A per-seat or low-volume usage plan may cost about the same as a flat rate, or less. Pick on features.
• Five-person SaaS team, with two developers who regularly jump in. Per-seat costs depend on whether you pay for everyone or ration logins. Flat-rate with unlimited agents sidesteps that decision entirely.
• Online shop with big seasonal spikes. Usage-based can be cheap in quiet months and expensive in peak ones. Model your busiest month before you sign.

What to Evaluate Beyond Feature Lists

Once you've sorted the pricing model, here's what I'd weigh up next. You don't need a monster spreadsheet, just honest answers.

• Total cost in 6 and 18 months. Model your current team and your likely team after hiring or cross-training, plus a peak month. Include seats, overages, add-ons, currency conversion and VAT.
• Setup time. Do you need onboarding calls or a sales conversation, or can you be live this afternoon?
• Live chat and email together. Does the shared inbox handle both without you juggling tools?
• Collaboration basics. Internal notes, assignments, tagging and filtering are what make a team feel organised.
• Reporting. For small teams, first response time and team performance cover most of what you need.
• Mobile experience. If you answer customers from the train or the shop floor, native apps matter.
• Reliability. Look for an uptime guarantee and a clear answer on what happens when things break.
• Support automation and AI. Is it optional? How is it priced? What does it learn from? Salesforce's 2024 State of Service report found service professionals expected AI to resolve 30% of cases by 2027, so it's worth checking rather than ignoring.
• Data portability. Can you export conversations and customer records in a usable format if you leave?
• UK data protection. GDPR is a broad label, so get specific. Ask where customer data is stored (UK, EU or US), whether the vendor will sign a data processing agreement, how international transfers are handled, and whether they publish a list of sub-processors. The ICO's guidance on international transfers is a good starting point.

The same Salesforce report found 79% of service professionals say customer expectations are higher than ever. That's a good reminder that the cheapest plan isn't the best value if its limits stop a small team from delivering decent support.

How Do I Avoid Getting Locked Into an Expensive Help Desk Plan?

This is the worry behind most buying decisions, especially if you've been burned before. Here's the routine I'd follow:

1. Ask for the full price at 5, 10 and 20 agents, including every add-on. If the vendor can't answer clearly, that's information.
2. Check billing terms. Is monthly billing available, or does the best price need an annual commitment?
3. Hunt for caps, overage fees and AI usage charges in the fine print.
4. Test with a free trial that doesn't ask for a credit card, so there's no auto-renewal surprise.
5. Confirm you can export your data and cancel without a call.
6. Set a calendar reminder to review your plan every quarter. Teams change, and your plan should too if it needs to.

A gentle aside: it's completely okay to walk away from a tool that makes its pricing hard to find. If you need three emails and a demo call just to learn what ten people would cost, that tells you something about how the next two years might feel. 💛

Help Desk Software Comparison Checklist for Small UK Teams

Run each tool you're considering through these ten questions:

• Can every person who helps customers get a seat without a budget conversation?
• Is my monthly bill predictable if conversations double?
• Does it combine live chat, email ticketing and internal notes in one shared inbox?
• Can I be up and running this afternoon, not next month?
• Is there a free trial without a credit card?
• Is there a clear uptime commitment and a way to get help?
• Are AI features optional rather than forced and metered?
• Does it meet our UK data protection requirements, with clear answers on data location and transfers?
• Can I export my data if I leave?
• Have we run a one-week trial with real customer conversations and the whole team?

That last one is my favourite. A week of real conversations with everyone involved tells you more than any demo. Then sit down together and compare notes.

What Questions Should I Ask Before Committing to a Help Desk Tool?

If you'd rather get answers in writing, here's a short script you can copy into an email to any vendor:

Hi, we're a small UK team comparing help desk tools. Could you help with the following?

1. What would we pay per month if our team doubled in size?
2. What counts as a billable user, conversation or resolution?
3. Which features are locked behind higher plans?
4. What currency do you bill in, and is VAT included or added?
5. What are the contract terms, and how do we cancel?
6. Where is our data stored, and do you provide a data processing agreement?
7. What does support look like when we have a problem?

Please include all prices in writing, including add-ons and overages. Thanks!

Keep the replies. Note the plan, billing period, currency, included usage and add-ons, plus the date you got the answer, so you have a comparison you can trust and come back to later.

Recommendation: Match Help Desk Pricing to Your Growth Plans

Here's how I'd sum it up in plain terms:

• Per-seat makes sense if you're tiny, staying tiny, and need one specific advanced feature.
• Usage-based makes sense if your volume is low and steady, or you can monitor a clear cap and stomach the occasional spike.
• Flat-rate with unlimited agents makes sense if you expect to grow, want the whole team in the inbox, and prefer a bill that doesn't change when things go well.

Trial two or three options side by side using the checklist above, with real customer conversations. If you'd like to see whether unlimited agents changes how your team handles support, Sonny's 7-day free trial needs no credit card and setup takes under five minutes, so there's very little to lose.

FAQ

Is Flat-Rate Help Desk Software Cheaper for Small Teams?

Often, particularly once more than two or three people reply to customers. Per-seat tools multiply their price with every agent, while a flat rate stays the same however many teammates you add. If you're a solo founder with low volume, the gap may be small, so run the numbers for your own team size, including currency and VAT.

Do I Need Unlimited Agents for a Small Support Team?

It's worth thinking about who might need access beyond your core support people. Developers, founders, marketers and part-timers often help with customer questions, and unlimited agents means you never have to decide who is worth a seat.

What's the Difference Between a Shared Inbox and a Full Help Desk?

A shared inbox lets a team manage conversations together, with assignments, internal notes and tags. A full help desk usually adds complex workflows, SLAs and deep reporting. Many small teams find a shared inbox with live chat and email ticketing covers what they need.

Can I Switch Help Desk Software Without Losing My History?

Usually, but it depends on the tool. Check that you can export conversations and customer data before you commit, and ask how easy it is to forward your support email to a new platform.

What Hidden Help Desk Software Costs Should I Watch For?

Quite a few. Look for add-on fees for AI features, extra channels, advanced reporting and premium support, plus overage charges. For UK teams, also remember that US dollar pricing and VAT can change what you actually pay.
